Shop hours (beta)
See the labor hours your shop finished in Tekmetric today, this week and this month - on the board and in Shop Settings - with past weeks and months kept.
Shop Hours adds up the labor hours your shop has finished, straight from Tekmetric. It's a beta: it's off until an Administrator switches it on, and it may change as we learn from shops using it.
Turn it on
- Make sure Tekmetric is connected and switched on - Shop Hours only counts what Tekmetric sends.
- Open Shop Settings > Modules and Permissions and switch on Shop Hours (beta).
- Open Shop Settings > Shop Hours.
- To count the hours from repair orders Tekmetric sent before you switched it on, click Recount from Tekmetric history (people who can change shop settings). It's safe to run again any time.
General Managers, Service Managers and Foremen see it as standard. Change who sees it with the Shop hours (beta) permission in Roles.
On your board
The Shop Hours block on your board shows today, this week and this month, and a bar for each day of this week. It updates by itself every half minute.
- Click a day's bar to see that day's details, or Expand for today.
- Move or hide it like any other block - see Rearrange or hide blocks.
What counts
- Each labor line on a repair order counts its hours once it's marked complete in Tekmetric.
- Tekmetric doesn't tell TEKTUNE when a job or labor line is marked complete. It only sends an update when the repair order itself changes - for example its status. So a finished line counts on the day of the repair order's next change, in your shop's time zone (Shop Info).
- That means work finished on a repair order that's still in progress isn't counted yet. It shows up when the repair order's status changes (for example to Quality Control or Ready for Pickup), on that day. This is the main reason Shop Hours can differ from Tekmetric on a given day.
- Hours are shown exactly as Tekmetric sends them - nothing is rounded. A negative line (a correction) takes hours off.
- A line on a job Tekmetric marks as not authorized still counts, and is marked Not authorized so you can spot it.
- If the hours on a finished line are changed, the new hours count, on the same day.
- If a line is marked not complete again, its job is removed, or the repair order is deleted, its hours come back off. Completing it again counts it on that new day.
The Shop Hours page
Open it from Shop Settings > Shop Hours, or with Expand on the board. The top shows Today, This week (Monday to Sunday) and This month. A new week or month starts at zero by itself - nothing is deleted.
- The row of days shows each day of the week. Click a day to see where its hours came from: each technician, their repair orders, and every labor line with its time (click the RO number to open it in Tekmetric).
- By technician shows the week as a table - each technician's hours per day and in total - to compare with Tekmetric's own numbers.
- Use the arrows to move between weeks, or pick a date to jump to it. Today brings you back.
- Past weeks and Past months list the totals for the last 12 of each.
Technicians and checking the numbers
Tekmetric only tells TEKTUNE each technician's number, so at first they show as Technician #1234. Click Name next to one to give it the person's name (people who can change shop settings); Rename changes it, and clearing the name goes back to the number. A line with no technician in Tekmetric is listed under No technician.
If a total doesn't match Tekmetric:
- Open that day and compare each technician, then their repair orders, with Tekmetric.
- Look for repair orders that are still in progress in Tekmetric with finished labor - those hours aren't in Shop Hours until the repair order's status changes. This explains most differences.
- Check the time on each line - it's when the repair order next changed, which can be a later day than when the work was done.
- Lines marked Tekmetric time were counted by Recount from Tekmetric history, which uses the time Tekmetric gave the update instead of the moment it arrived.
- Check which date Tekmetric's report uses - for example, a report by posted date counts a repair order on the day it was posted, not the day the labor was finished.
When Tekmetric is switched off
Switching off the Tekmetric integration switches Shop Hours off too: the board block and the page go away. Nothing is lost - the hours already counted and your Shop Hours switch stay as they are, and everything comes back when Tekmetric is switched on again. Labor finished while Tekmetric was off isn't counted, because TEKTUNE doesn't take in Tekmetric's updates then.
