Roles and permissions

The roles in TEKTUNE, giving someone more than one role, what each role can do, and who Foremen and Service Managers manage.

Every person in TEKTUNE has one or more roles. What they can do is everything any of their roles allows - a Technician who also runs parts can be both a Technician and a Parts Manager.

The roles

  • Administrator - everything, including employees, Shop Settings and billing. Its permissions can't be changed, and a shop always keeps at least one.
  • General Manager - runs the shop day to day and manages everyone: approves anyone's time off and fixes anyone's time cards.
  • Service Manager - manages the advisors: everything an Advisor does, plus approving advisors' time off, their time cards, announcements, assignments, the daily task list and fleet records.
  • Foreman - manages the technicians and porters: everything a Technician does, plus approving their time off, their time cards, announcements, assignments, the daily task list and managing inspections.
  • Advisor - works with customers and the rental fleet: signing cars out and in, e-signatures, New Service and forms.
  • Parts Manager - controls parts flow and the special tools: adds, edits and removes shop tools and tool locations and resolves damaged tools.
  • Technician - inspections, vehicle concerns, tasks and tools.
  • Porter - the shop's runner: tasks and daily chores, vehicle concerns, rental turnover inspections and special tools.
  • Shop Contact - the person who pays the bill: the Billing page and the billing reminders. Nothing else unless they have another role too.

Everyone can still message, request their own time off, use the time clock and see the board, as long as those modules are on for one of their roles (see Modules and Permissions).

Give someone their roles

  1. Open Shop Settings > Employees and click Manage next to the person (or + Add Employee for someone new).
  2. Under Roles, check every role that fits them.
  3. Click Save changes (or Add employee).

The Employees list shows all of a person's roles.

Change what a role can do

  1. Open Shop Settings > Roles.
  2. Pick a role at the top. The number on each is how many people have it.
  3. Switch a permission on or off. It saves right away; anything that differs from TEKTUNE's standard is marked Changed.
  4. Put back to standard undoes every change to that role.

Other open pages refresh by themselves when you change a role. A module switched off in Modules and Permissions stays off whatever a role allows.

Teams: who a Foreman or Service Manager manages

Approving time off and fixing time cards only reach a person's team. General Managers and Administrators manage everyone. A Foreman's team is Technicians and Porters; a Service Manager's team is Advisors. To change it, open the role in Shop Settings > Roles and check the roles under Team - for example add Parts Managers to the Foreman's team.

On their own team, they see people's time off reasons and notes, approve or decline requests, request time off for them, and see and fix their time cards. Nobody approves their own time off.
