The rental fleet: signing cars out and in

Reserve a loaner, sign it out with a rental agreement, check it back in, and keep notes and history for every car.

The Rental Fleet block shows every loaner and where it stands. Its color and tag tell you at a glance: Ready for rental, Reserved, Out (or Overdue), Awaiting inspection, Being inspected, Inspection Complete, Flagged for Review, Being Serviced, Out of Service and E-Signing in Progress.

Sign a car out

  1. Click Sign out on a ready car, or use + New Task > Rental Sign Out and pick the car.
  2. Fill in the customer's name and phone, the RO number, Mileage out and Expected return.
  3. Check the fuel level shown from the last inspection. If the car was checked in since the fuel was last recorded, TEKTUNE asks you to confirm the gauge first.
  4. Choose how the customer signs the rental agreement:
    • Print Rental Agreement - a paper copy to sign at the counter.
    • Send E-Sign Link - the customer signs on their own phone. See Electronic signatures.
    • Send to Kiosk - the customer signs on the iPad at the counter (shown when your shop has a kiosk).
  5. For a printed agreement, click Sign out when it's signed. With an e-signature, the car signs itself out the moment the customer signs.

Reserve a car

  1. Click Reserve on the car.
  2. Enter the customer's name, phone and the date they'll pick it up, then click Reserve.
  3. When they arrive, click Customer arrived - the sign-out opens with their details filled in. Cancel reservation frees the car.

Check a car in

  1. Click Check in on the car.
  2. Add a note for the inspection team if something needs a look (for example "spill on back seat").
  3. Click Submit for inspection. The car goes to the Task Board for its turnover inspection.

Bypass inspection checks the car in without an inspection - for a quick swap. It can be used at most twice in a row for the same car; the next check-in needs the inspection.

Notes on a car

Click Notes on a car to read or add notes, with the mileage - for example a rattle a customer mentioned. A car with notes nobody has read yet shows New Notes.

Vehicle history

Click History next to a car's plate. Rental History lists every rental, inspection, service and note, newest mileage first; open any rental to see its agreement. + Add manual entry records something done outside TEKTUNE. Taking a car out of service

Advisors and Managers change a car's status from its menu: Ready for rental, Being Serviced or Out of Service. Choosing Being Serviced opens New Service: say what's being serviced and the mileage, then Mark Being Serviced, or Send to Task Board to make it a vehicle concern task for a technician. With Tekmetric connected, you can open a new repair order in Tekmetric and link its RO number - see Tekmetric.

Adding and editing cars

Managers add loaners from the gear menu > Vehicles - see Add rental cars. Click a car's name on the board to update its mileage, fuel or tire pressure spec.
